How to Find the Right Toner Cartridge for Your Printer (Without Guessing)

Four ways to identify the right toner cartridge for your printer, including the cartridge label, printer supply status menu, and model number

Wrong-cartridge returns are the most avoidable problem in office supply purchasing. They usually trace back to one of two things: someone read the printer's marketing name instead of its model number, or someone assumed a printer family shares one cartridge when it doesn't.

Four reliable ways to get it right, in order of how much I'd trust them.

1. Read the old cartridge

The most dependable source is the cartridge already in the machine. Pull it out and look at the label on the front or the end cap. The part number is printed there β€” something like CF258A, TN-760, or 055H.

Write down the whole string, including the trailing letter. That letter usually carries the yield, and it's the part people drop.

2. Ask the printer

Most laser printers will tell you what they're loaded with. On a printer with a screen, look for Information β†’ Supply Status, or print the Supplies Status Page from the reports menu. On a networked printer, type its IP address into a browser and open the embedded web server β€” the supplies page lists installed cartridge part numbers and remaining life.

This one's especially useful for a fleet. You can walk the whole inventory from your desk.

3. Find the model number on the printer itself

Not the box. Not the purchase order. The printer.

The model number is on the front bezel, or on a label on the back or under the front cover. It looks like HP LaserJet Pro M404dn or Brother HL-L2350DW. The suffix letters matter: they indicate duplexing, networking, and wireless, and while they often don't change the cartridge, sometimes they do.

4. Match by manufacturer numbering logic

Once you have a part number, the yield variant is usually encoded right in it:

  • HP uses a letter suffix. A is standard yield, X is high yield, Y is extra high yield where offered. CF258A and CF258X fit the same printers; the X simply holds more toner and prints longer.
  • Brother splits it into separate numbers. A TN-730 and a TN-760 fit the same machines at different yields. Brother also uses DR- for drums (more on that below).
  • Canon uses cartridge numbers like 054 and 054H, where H is the high-yield version.
  • Lexmark and Xerox typically publish separate part numbers per yield tier rather than encoding it in a suffix β€” check the spec sheet.

The four mistakes that cause most wrong orders

Confusing toner with drum. On Brother, Lexmark, and several others, the toner cartridge and the imaging drum are separate consumables with separate part numbers and very different replacement intervals. A drum typically lasts through several toner cartridges. If your prints have repeating marks at regular intervals down the page, that's usually a drum symptom, not a toner one β€” and ordering more toner won't fix it.

Assuming a printer family shares one cartridge. An HP M402 and an HP M404 look nearly identical and do not take the same cartridge. Neither do an M203 and an M227 in every configuration. Check the actual model, every time.

Ignoring yield when comparing prices. Divide the cartridge price by its rated page yield to get cost per page. A standard-yield cartridge at a lower sticker price is often more expensive per page than the high-yield version of the same cartridge. For any printer you use regularly, high yield is usually the better math.

Trusting the starter cartridge count. The cartridge that shipped in a new printer is frequently a partial-fill β€œstarter” with a lower yield than the retail cartridge carrying the same part number. If your first replacement seemed to last much longer than the original, that's why β€” not a defect.

One note on rated yield

Page yields are measured against an ISO/IEC standard test page at roughly 5% coverage. That's a fairly light page β€” a paragraph of text, not a dense spreadsheet or a page with a logo block. If your documents run heavier than that, expect real-world yield to come in under the rated number. Use rated yield to compare cartridges against each other, not to predict exactly how many pages you'll get.

Put it in writing once

If you manage more than a handful of printers, spend an afternoon building a simple sheet: printer model, location, toner part number, drum part number if applicable, and yield. Every future reorder becomes a lookup instead of an investigation, and whoever covers for you while you're out can order correctly without calling.
